    Due to the recent events in the Middle East we are managing some impact affecting a small number of customers based in the region.  Data sovereignty requires the infrastructure curated to provide the services to you to be based wholly in your region. Unfortunately due to circumstances outside our control, two of the three AWS data centres based in the region have been impacted by the current events which has in turn impaired our services.Ideagen is fully committed to delivering the best service for all customers globally.  We are currently striving to ensure the minimal interruptions occur. We have investigated alternative solutions to restore functionality to you, which includes transferring hosting to another region.  This can be achieved but would undermine the data sovereignty requirement.  Should this be a realistic solution that you wish to pursue we would need your express written instruction to

    Adding hyperlinks into message notification emails

    Hi,is it possible to add a hyperlink in a message notification. whilst i can paste in the URL i cant format that as a hyperlink. e.g. i’d like to be able to direct any user receiving an capa action notification to a guidance document located on our local n/w. any ideas? this would help those users that may not have used Q-Pulse previously. thanks Sean

    Customising escalation (digest) emails

    Hi everyone,I’m looking for some guidance on how to personalise the escalation emails generated by the app.At the moment, our employees receive consolidated digest emails listing their due and overdue actions. I would like to update the wording in these emails to make them clearer, and provide guidance on the required actions but I haven’t been able to find where this can be configured within the system.I managed to modify the messages, reminders and escalation, but not when we send them out as a single email summarising the actions. Does anyone know where the templates for these digest or escalation notifications are located, or how to go about modifying them? Any tips would be greatly appreciated.Thanks in advance for your help!Beatrix

    Hello, I archived a person inadvertently and I need to reinstate them. How can I do that?I tried to do so in the admin module, but I kept getting the error that the name was not unique. But I cannot find a way to reinstate them through the people module.

    Can anyone help with a process for removing the ability for staff to quick add categories or options while using the live environment. I presume this would involve creating a security group and adding all staff to it. Additions would then be managed through the managed lists in admin Thanks David

    Date System Limitations in Ideagen Quality Management – suggested improvement.

    Recently we requested for Ideagen to develop the way the due date system works to improve functionality and save on time wastage within the business.The current workload functionality is set at the template stage and is purely based on the raised date. This is great in theory, but in the real world, it leads to a lack of efficiency & requires considerable manual intervention with the need for micro-managing all the due dates of stages & actions within the system.As an FYI some of our Q-Pulse processes have 15 or more stages with multiple tasks within each stage.Scenario - We have a process that involves three sequential stages, the current methodology has defined dates as follows:The first stage due date is preset 7 days from the raised date, the second stage due date is preset 12 days from the raised date, and the third stage due date is 16 days from the raised date.In theory, the task will be completed in 16 days and no dates will ever be

    Automated SSO Account Creation - how are you doing it?

    We are a large organization in the process of migrating from on-prem to cloud.We have an automation to create/update/archive users via the API and keep everything in sync with our IDP. The problem is that the API can’t add UPN (User Principal Name), which is required for SSO to work.How are you dealing with this? Certainly you aren’t doing a manual daily bulk upload, which the documentation would leave me to believe is the only option.

    People module – Event history, completed date & renew-by logic

    Hi all,I have a question regarding the People module, specifically how Event History works for recurring or renewable events.In the Event History, I would like to add a new event of a certain type with: a Completed Date, and a Renew By date (for the next cycle). Could someone clarify how the logic works in practice for reminders and escalation?Once an event has both a Completed Date and a Renew By date, when do reminders stop?  After the Completed Date is entered in a new event of the same type and has a completed date or I have to edit the same event with the new completed date and a new renew by? But by doing that I will lose historical record of previous event.

    Hi Everyone, I am looking some advice on best practices regarding discontinued documents. When a document is discontinued, the training department currently carry out several steps:Remove the document from all staff Training plans  Remove the document from all standard Job Roles Remove outstanding renewable flags from all training events.  Archive the Master event.As a large organisation we have recently discontinued may of our induction documents which are applicable company wide. The above process has caused this to be a mammoth task.  Could you advise if the above steps are all necessary or if there is a admin setting we can use or if there is a better way to achieve the same outcome. Thank you in advance for your help with this.Kind regards,Sarah-Louise

    Document acknowledgement permissions and visibility

    Hi Everyone,I’m looking for guidance on best practices for requesting employees to acknowledge a document in the system without allowing them to acknowledge it on behalf of someone else. Unfortunately, at the moment this is possible, and I haven’t been able to find a way to restrict that permission.Additionally, is there a way to limit the visibility of the acknowledgement actions, so that each employee only sees the acknowledgement line associated with their own name, rather than seeing acknowledgement actions for all employees across the company?The screenshot below shows our current setup, which is what’s currently visible to all users.Any advice on configuration and permissions would be greatly appreciated. Thanks in advance!

    Pre/Post Upgrade Steps

    Last month we migrated from on-prem Q-Pulse to IQM Cloud.Yesterday we got a hotfix in our pre-production environment, and it seems at least some of our custom configuration got wiped in the process, namely all of our custom reports (and their corresponding configurations on the web reporting portals). Now I’m wondering what else we may have lost.Does anyone have or know of a complete list of what needs to be backed up/re-done before and after an upgrade?The fact that I even have to ask this is ridiculous. I manage multiple cloud apps and this is the only one where I have to worry about losing anything when the vendor updates the version. Yet more confirmation that Ideagen went cloud without having cloud architecture in place.

    How to group mandatory document acknowledgements for new starters

    I’m looking for advice on how to set up the Documents module more efficiently for the following scenario.We have several documents that are mandatory reading for new starters and require formal acknowledgement. Currently, this process is very admin-heavy. When a new employee joins, I add them to the People module, then for each individual document I have to manually add their name in the Distribution tab and the Copyholder/Acknowledgement field so they can acknowledge it. This has to be repeated for every mandatory document.Is there a way to group these acknowledgements for new starters, so that all required documents are assigned at once rather than individually?Any suggestions would be greatly appreciated. Thank you for your help.

    Recurrent sync issue in iOS mobile app, version 2.8.0

    Hello!We have a pretty frequent issue where the iOS app errors out when trying to sync to the server to push updates to our ipads that we use for offline document access (which has to be up to date at all times, so the sync failure causes a gap in compliance). There are three errors that appear: 2 error messages or the app just crashing. The only thing that we have figured out for “fixing” the issue (per our IT dept) is to just keep trying until it works, however I have spent several hours over several days just trying and trying again to no avail. The only time it becomes successful is when I bring them over to IT and my IT guy does the same exact thing that I’ve been doing.Here’s one error we see: And the other one just says “Unable to Sync - Unable to complete a sync. Ideagen Quality Management server may be down”. We know

Are there some that I am missing?  I was hoping to get our HR people through some of those so that they have a better understanding to build out the matrices and competencies.  We do have some success training in June, but I was hoping to give them some information in advance.
