    e-Learning in the Ideagen EHS Core App

    While we are starting fresh on this new platform, I need to raise the question that I am most commonly asked about Ideagen EHS Core - formerly Lucidity.What exactly is the limiting factor that is preventing the implementation of the Competency Module (i.e the ability to complete e-Learning) via the App? Currently 95% of our work force utilises the App for the majority of their use of the software, but still need to use the desktop version to complete their inductions / e-Learning. We have force loaded a link to the desktop site onto all the company managed mobile devices, but a large portion of our workforce use their personal devices to access the App, meaning we have had to explain that the app if for forms etc, and the desktop site is for e-learning and show them how to bookmark a web page (which was quite an undertaking for some less tech savvy demographics of our workforce).  I understand something like this needs significant software development, but the question remains; Is this

    Document Numbering with Leading Zeros

    Does anyone know if it possible for a Document Type assigned with a document numbering prefix to automatically assign the next sequential number but formatted with leading zeros (fixed number of digits). For example SOP00005, SOP00134, etc. I seem to only be able to get SOP5, SOP134.  We really need to ensure the total number of characters for document ID is consistent of always being 8 characters. We are currently using version 7.8.0.

    Permission to download documents

    Hi Everyone,We’re working on refining our permissions in the document management module, and I’m looking for a bit of guidance on how to restrict document downloads. Here's the situation:I’d like to set things up so that only the document owner can download their documents. For example, only the Environmental Manager should be able to download environmental documents — and not anyone else from the Environmental team or other departments. Do you think there is way to set permissions this way? Thanks again for all the help this week!

    Document Review Actions Remain After Deleting File

    Hi Team, it appears in our system (Ideagen EHS Core - formerly Lucidity), that once a document is deleted from the filing cabinet, the review action associated with said file remains - and the review action needs to be subsequently manually deleted. Should the system not register that the file itself is deleted and automatically delete its associated review action? We have also noticed there is no functionality to “bulk change” document review actions; hypothetically when we finish a project, the site specific management plans, inductions and procedures are deleted/archived - therefore sometimes there will be a large amount of individual document review actions that needs to be manually deleted one by one with minimal filtering ability in the All Actions section of the Intranet Module (as we only use the Projects managed list, not Location). Can anyone think of a work around for the above or have a system that they have put in place to manage this process with more ease?

    I have an issue with users unable to view reports.I have enabled the ‘Create Reports’ & ‘Alter Reports’ permissions for these users but they still are unable to view reports. Has anyone had an issue that is similar?

    Help with Document Review Access Issue

    Hi everyone,I'm working on the document module and trying to set up access for a user to complete document reviews via the Review tab, but I’m running into an issue.The user is part of the "Manager - Documents" group with the following permissions: “document review”, document review action complete”, document review action edit”. The user has secondary licence..Despite this setup, the user cannot complete reviews from the Review tab,  as the action options enabled in the “Review” tab. Does anyone know if there are any additional permissions or settings needed, or maybe the secondary licence be a limitation?  Any suggestions or troubleshooting steps would be appreciated!Thanks in advance!

    Good morning, The form revision is in the program, but when printing  the forms, it doesn’t reflect the AS9102 revision.     Training timing for SOPs?

    In our current process, training for SOPs (“read and understood”) is documented in the eQMS. However, training is only assigned after documents become effective, which has been identified by auditors to be a gap between SOP implementation and staff training.Has anyone implemented an effective system or workflow for pre-effective-date training in the eQMS?

    Automated SSO Account Creation - how are you doing it?

    We are a large organization in the process of migrating from on-prem to cloud.We have an automation to create/update/archive users via the API and keep everything in sync with our IDP. The problem is that the API can’t add UPN (User Principal Name), which is required for SSO to work.How are you dealing with this? Certainly you aren’t doing a manual daily bulk upload, which the documentation would leave me to believe is the only option.

    Filing issues on New Outlook

    I’m having an issue on New Outlook.  When sending an email I set the the email to not file, and afterwards an old style filing box shows up after the email is sent about 3 to 10 seconds after the email is sent.  Why is it trying to double file things?

    When we try to file emails in MM many projects don’t file. They are either Cancelled or have Error: the remote server returned an error in the Progress column. We do not have a physical server. I have requested help with this before but it keeps happening. Can anyone help with this?Thank you.

    Late training/test email to managers

    Hello,I have been trying for a while to find a way to create an automated email or a periodic report without success and perhaps you may know a way to get this done.We want to send a report summarising the staff who has not completed their assigned training in time, or tests assigned more than 15 days ago. This report would be sent as an email to their managers on a weekly basis.Do you have any ideas about this or something similar?Regards,Pedro

    Divisional name changes

    Hi all,One of our divisions is changing their name from Cancer & Diagnostics to Core Clinical Services. Does anybody know of an easy way to update all the reports we already have set up for the division without having to go into them all and add in the new divisional name?Has anybody else had any experience of this?     Timescales for upload of NICE guidance and CAS alerts

    Hi, how do users of the CAS app and the NICE app manage the delays with the alerts/guidance being uploaded to the system? We are essentially running two processes for CAS, updating the CAS website and retrospectively updating Inphase. We haven’t started using the NICE app yet, but are concerned that the month delay would impact our processes and the ability to meet timescales. I’m keen to hear how other Trusts are managing this?

    Asset module - use as a forward-planning tool for equipment replacement?

    Hello,Is there anyone using IQM or Q-Pulse that has adapted the Asset module to also provide a way to monitor and manage equipment replacement?I come from a large Pathology company with a significant equipment list - many of the items on the list have a specific lifespan, with planned obsolescence required to ensure replacements are forecast and obtained in a timely manner.The obsolescence plan is generally based on three elements - projected lifespan, current condition, and criticality.  These elements are assessed and recorded on a regular basis so budget for replacement can be allocated.Is there anyone with experience of using the Asset module to help monitor, record and report this?   Cheers Tony

    How do I set up a group where only one person in that group needs to sign off?

    I want to create a group of people who need to sign off a template but only one person in that group is required. So the group could contain 4 people but if one person has approved it the rest don’t need to before it moves to the next stage.

    CA/PA Edit Additional Fields - Permission

    Despite having assigned a user group the ‘CA/PA Edit Additional Fields Permission’ in the CA/PA Module, the entire Additional Fields sections remains greyed out for them. I have populated it with a dropdown to select from in User Field 1 and I can use the dropdown on records with my system admin access, but the users cannot regardless of whether I add the permission to the dynamic role(s) or their relevant static permission group. Any idea what’s preventing this from working???

    LFPSE data source issue impacting all uses across entire Trust

    Hi,Is anyone experiencing issues with the LFPSE data source within the last 24 hours?We are unable to see any data from pages built off a live connect for LFPSE, and we are also unable to access live connect via data source option in administrator to ascertain the issue.Have attached an image of the error message in the hope someone recognises and can offer advice.Thanks!

    "Document Includes File Extension that is Prohibited"

    Has anyone come across this error when attempting to save a change document to the document detail? I’ve attempted to save this multiple times and I get this message. This hasn’t happened with any other documents that I’ve worked with. I’ve tried to see about changing the extension itself (it’s a Word doc), well more like saving it again as a .docx to see if that helped at all- it didn’t. Any insight would be greatly appreciated!
