Does anyone use the replication feature? I am trying to replicate a particular tree in our document structure to SharePoint but when I try to test it I get the following error:Error connecting to Output Location. Please verify path and permissions of the Output Location.I am not sure if this means that my SharePoint location needs to be updated to allow the information from the Ideagen system or if I am somehow adding the wrong path?

With the automated workflow launcher function, we are able to launch individual instances of the desired workflow from each row in a sub-form. Is there a way to copy information from the sub-form fields into the same field, but that is a discrete field in the newly launched workflow (i.e., the newly launched workflow does not have the sub-form).

Is it possible to go directly to a document from your inbox? I recently switched to the new inbox format and have found the only way to get to a document is by clicking on it, selecting document properties and then opening the document from properties. Frustrating not to be able get directly to the document anymore. 

Hello, we’ve had QM Essentials for a few years.  My predecessor created 2 custom work flows we primarily use.  We’ve wanted to expand the security on these to include other managers in our lab system.  Currently only myself and a few other QA folks have access as admins.  We’ve enabled the others to view and alter reports, as well as for them to view security in the reports tab for the custom report we’ve created for the custom workflow (that’s been established for years).  The users (who we thought we gave appropriate permissions to) still can’t run the report.  An error message is given.  I understand that maybe embedded within that workflow are additional security measures.  We’ve also enabled workflow definitions for them and within the workflow toggled on view security.  Any ideas on why they still can not run reports? 

I am looking to add a header/footer to documents on our system.Is there a viable way to do this. Ideally it would contain the document title, ID and revision number.Has anyone had any experience with this?

Hello! We are looking at a way to reconfigure out how to set up our document management system in Ideagen to account for major and minor revisions. Essentially our current policy is that we must do a full review of our documents every 2 years, however if minor changes are needed between that those cycles we can do a shortened review before publishing the updates. We do not want these minor reviews to reset the expiration clock for the “full review”.How would you go about using the system to accomplish that?Hope that makes sense!

Is there currently a way to use the external custom fields to attach more than one file at a time?I have users needing to upload between 2 and 20 pictures and having to go through the ‘Choose File’ button for each is very time consuming. Is there a way to bulk attach to the form/ workflow?

Is there a way to have a workflow generate a report at the end?Idealy i would like to have this sent to either a SharePoint folder or an internal folder in Qualtrax.The goal is to be ablet o look up old reports if you dont know the information to search the primary database of the workflow. Or have a PDF/Word/ or other format created to be exproted to send to internal and external customers. the work flow we are trying to do this with are quality non conformances.

At this point can a PDF be used to initiat a work flow or uploaded to a work flow to fill in fields?

Is there a way to temporary lock out all users while we perform system maintenance?  I want to lock out all users except for the few admin members.  I don’t want to have to manually reset each password of my users, if possible.  Thanks!

Hello,I have been trying for a while to find a way to create an automated email or a periodic report without success and perhaps you may know a way to get this done.We want to send a report summarising the staff who has not completed their assigned training in time, or tests assigned more than 15 days ago. I created a Custom Field (text type) and added them to a folder. Let’s call the Custom Field = A. I entered the text data into the custom field properties of a document in the folder. When running a Document report to retrieve the data, the report displays previous/historical data of the custom field B (note: custom field B was deleted and replaced with custom field A). Is there anyway to update the report display to show data entered into custom field A, which is the current setting of the document properties?

I have an issue with users unable to view reports.I have enabled the ‘Create Reports’ & ‘Alter Reports’ permissions for these users but they still are unable to view reports. Has anyone had an issue that is similar?

Seeing a new column when accessing user profile called “Action”, first noted today, have not noted this previously. Any insight what it is?

If i have a user that’s not in Qualtrax (no license), is it possible to input an email address within the workflow and/or email action and have the completed workflow email sent to them to let the know it’s complete?

Hello! I’m working on creating a new workflow. I found the option to add an External File as a custom field which helps for any document that’s not maintained inside Qualtrax. If i have a document already in our document tree that i’d like to attach to the workflow (in this case, it’s for a literature review assignment log), is it possible to make that connection without using an external file? I am working on a workflow that will enable the user to upload saved documents in one occurrence. Each document has its own category which the user selects. Can this be done in a subform? Or, can the user indicate that there are more documents to load and restart the workflow again without exiting? What’s the most efficient way to do this?

Hello, has anyone came across an issue whereby a document is in the same folder location twice and both are showing as the ‘Main Location’? For reference they both have the exact same ID number and there is no possibility to ‘Remove Document Location’ for either of them. 

Hello, we’re attempting to export data from our modules, however there is detailed information from fields we customized specific for our occurrences. Is there a way we can bring in custom columns to those tables to sort through and export? I know there is the report function, but we’re having difficulty generating that. To me, it seems like the verbiage we can select is not connected to the items we’ve created in our fields. Thank you for your help.
