Hi all,  Documents can sometimes be missed and not distributed to the right people if they have changed roles or if a new person has joined the team and there has not been time to update the copyholder templates. Has anyone else experienced this? Would it be possible to create dynamic copyholder templates, i.e. Distribute document IF Job Role “xyz” is TRUE? If a workaround already exists and I’m not aware, please let me know!! :) Thank you.   Kind regardsMonika Blinstrubyte

Recently we requested for Ideagen to develop the way the due date system works to improve functionality and save on time wastage within the business.The current workload functionality is set at the template stage and is purely based on the raised date. This is great in theory, but in the real world, it leads to a lack of efficiency & requires considerable manual intervention with the need for micro-managing all the due dates of stages & actions within the system.As an FYI some of our Q-Pulse processes have 15 or more stages with multiple tasks within each stage.Scenario - We have a process that involves three sequential stages, the current methodology has defined dates as follows:The first stage due date is preset 7 days from the raised date, the second stage due date is preset 12 days from the raised date, and the third stage due date is 16 days from the raised date.In theory, the task will be completed in 16 days and no dates will ever be

This issue has only come up for me recently, but when I go to save a document before checking it back into QMS, I get this Q-Pulse Password protection window: It’s never asked for this before, so is there a way to turn this function off in QMS? It slows down my work process quite a bit.

Hi,I have being asked to move a number of current/active accounts from Primary Licence to Secondary Licence.1.Can you let me know how to easy do this?What are the effects of moving from Primary to Secondary on the system? How do I archive a user with outstanding workload? This used to be straightforward in the system where you could go to Admin > People > Select User > Archive however. since this function has moved to the Admin Console / User Management on the web I’m struggling to do this. I have managed to make the user ‘Inactive’ in the admin module but can’t find where the outstanding workload has went for this user. I have checked the section for reassigning ownership in advanced workload and it is not there.

Hello,We really like the feature that allows us to convert a document (Word, Excel etc.) to a PDF. This can be done either when activating a draft, or when submitting for approval.Of course, we can also convert back again: When an active document is revised into a new draft/active document, and the checkbox to base the new file on a copy of the old is selected, the original attachment (Word/Excel) is made available again. This is great. We don’t need to keep backup copies of the original in other locations (file server etc.).However, in a few cases, such as when needing to make a minor adjustment or typo correction after a document has been made active, but without going through the full revision process, it’s more difficult.This is perhaps an edge case.Example workflow that leads to this issue:Create a Draft document, upload Word file,

Our system was due to be upgraded on ‘w/c 27 April.’ We moved to the cloud platform last year in hopes for smoother upgrade cycles. We have been very disappointed in the lack of communication. We expect to be told of outages and when the downtime will occur as a time window rather than a vague weeklong span. I have started this conversation to look for answers for my organisation into how we get this vital information. On Friday morning last week, our eQMS was down, and we had no alerts from Ideagen that the upgrade had occurred and also failed. We require it for producing to go ahead - if it is down we stand to lose a production and incur downtime loss. Our Sales executive was not contactable and we have been left to pick up the aftermath. Please can we get some answers.

Hi all, does anybody have have any advice on whether CA/PA from a specific source can be made confidential?  I have a small group of users working on confidential actions that we don’t want to be visible to the rest of the business, is it possible to give view and edit access only to a small group.  Thank you in advance for any help you can offer

Just wondering if anyone could help with distributing document acknowledgement and document review emails from the system.Currently, when the action owners receive the email, all recipient email addresses are visible in the To field. Morning All,We’ve been using Quality Managment Professional (previoulsy Q-Pulse) for a number of years now and have a question around document permissions. When we initially set Q-Pulse up, we created a user group called “Basic User” for all users which gives access to certain modules, including docs and access to view and print attachments.We now want to be able to resrict access to certain document types to prevent printing or saving out of QMP to users local machines. Is there a way of doing this? (we’re currently on version 7.8.1.9)   

Is there a way to restrict users so they can only view specific document types?We currently have separate document types set up for SOPs and Forms. Our goal is to allow users to view both, but only permit printing for Forms.However, I wasn’t able to find anything in the admin module that supports this level of selective control, permissions appear to be all or nothing when it comes to printing.

I would like to search for all items that have their last activity by date that have a certain outcome.i.e.  All items with an outcome of Booking\OUT as below: This would enable me to list all items that are booked out of our gauge store.Any solutions would be greatly appreciated.   

Would love some help please! We currently have our documents set to keep active date fixed (the date when the document originally became live) and review date to update when a document is reviewed. In some instances however, active date is updating after a review has been performed. For the life of me, I can’t work out where I can fix this. Any advice would be greatly appreciated!

Hello! Is there a way to import training records from an excl spreadsheet? We are in mid-transition and I am trying to get historical training records uploaded into the QMS. I had hoped that the academy integration would move the records, but that does not appear to be there case. So I am leaning towards entering the completed training records (prior to 2025 when we got Academy/QMS) into the QMS but am unsure if it is possible to import them directly. I have a ticket currently open about the issue however I have not had any response, and it has been over a month. I need to work on getting this completed but am stuck. 

Hi Everyone,I’m looking for guidance on best practices for requesting employees to acknowledge a document in the system without allowing them to acknowledge it on behalf of someone else. Unfortunately, at the moment this is possible, and I haven’t been able to find a way to restrict that permission.Additionally, is there a way to limit the visibility of the acknowledgement actions, so that each employee only sees the acknowledgement line associated with their own name, rather than seeing acknowledgement actions for all employees across the company?The screenshot below shows our current setup, which is what’s currently visible to all users.Any advice on configuration and permissions would be greatly appreciated. I have recently started using the Dashboard Designer and I am having some trouble. I have 4 differtent Asset Types and 4 Different Activity Types, when I do Activity Type Name in the data/filter menu I am only seeing Calibration. Same with Asset Type, I am only seeing one type. How can I get all of them to populate in the filter menu?

Hi all,I find it quite frustrating that when adding a Supplier Contact, a new person has to be created rather than being able to select someone from the existing list of people already in IQM. Once the contact is added, they appear in the list of people anyway.Additionally, if the person already exists in the system in another module, the Supplier module will not allow them to be added as a contact because it flags the entry as a duplicate. In this situation, it would be extremely helpful to have the option to select an existing person from a dropdown list.I’m wondering if anyone else has experienced this issue, or if this is already being considered as part of product development or future improvements?Thank you!
