Automated SSO Account Creation - how are you doing it?

We are a large organization in the process of migrating from on-prem to cloud.We have an automation to create/update/archive users via the API and keep everything in sync with our IDP. The problem is that the API can’t add UPN (User Principal Name), which is required for SSO to work.How are you dealing with this? Certainly you aren’t doing a manual daily bulk upload, which the documentation would leave me to believe is the only option.

Document Links

Hello--I am wondering if it is possible to link a document from the documents module to a sharepoint page.  In the past we used sharepoint as our QMS system, so we were able to provide a link on our homepage so that team members could reference the document directly. Is it possible to provide a link directly to the current revision from the documents module?

Asset module - use as a forward-planning tool for equipment replacement?

Hello,Is there anyone using IQM or Q-Pulse that has adapted the Asset module to also provide a way to monitor and manage equipment replacement?I come from a large Pathology company with a significant equipment list - many of the items on the list have a specific lifespan, with planned obsolescence required to ensure replacements are forecast and obtained in a timely manner.The obsolescence plan is generally based on three elements - projected lifespan, current condition, and criticality.  These elements are assessed and recorded on a regular basis so budget for replacement can be allocated.Is there anyone with experience of using the Asset module to help monitor, record and report this?   Cheers Tony

"Document Includes File Extension that is Prohibited"

Has anyone come across this error when attempting to save a change document to the document detail? I’ve attempted to save this multiple times and I get this message. This hasn’t happened with any other documents that I’ve worked with. I’ve tried to see about changing the extension itself (it’s a Word doc), well more like saving it again as a .docx to see if that helped at all- it didn’t. Any insight would be greatly appreciated!

Document Save Error

Is anyone else having an issue with saving a draft document after submitting for approvals? I have had this issue multiple times now, where once all approvals are complete and I try to make any changes to the document and then save it, I receive the save error at the top of the record. The tool tip does not show up anywhere in the record, but when I hover over the save error I get a popup message that says “You must specify some text in your note”.  Also, if I try to Activate the document using the wizard in the  desktop client I can go through all the windows and then the last box has the “Save” button greyed out.

Web Reporting - Unauthenticated for external entry

Hi there,Is there a security issue with enabling the web reporting portal in unauthenticated mode (no SSO), where external users from anywhere in the world can upload attachments?I’m specifically concerned about the risk of someone uploading a file that contains malware. How is this normally managed in practice? do systems in Ideagen usually scan uploads, restrict file types, or isolate them before we access and possibly download them? What are the best practices for handling this kind of setup or is it always recommended to be authenticated (which means external parties cant fill the form)Thanks,Alex

Issues loading .xls files

When using the web version, I have been unable to load .xls files. I get a notification stating that it is a forbidden file type.  So I typically revert to the desktop version, as I have never gotten the error using that.  Has anyone else experienced this? Is there a setting that I need to change?

Designing customer/supplier notification reports

Hi All, Many years ago, in a previous job, I had the pleasure of attending an Ideagen conference that I believe was help in Nottingham but I can’t quite remember.I do remember one of the attendees giving a presentation on how they created bespoke reports to send to suppliers for notification of complaints.In my current role I am back working with Q-Pulse, or it’s new identity as Ideagen Quality Management Professional, and would like to update the look and feel of the reports we are using for supplier (and customer) notifications. If you are still around and are able to share the information/presentation that would be fantastic.If anyone else has a good how-to guide for setting up reports that would also be much appreciated!Thank you

Login license issue

Hello, Quick question for the group. Is there a way for an individual who has a ‘primary license’ to be logged in with a secondary license if there are no primary licenses available at that time? Is there a way to set it that way? As an example, earlier this week, I had two associates who were unable to log in because there were no primary licenses available, but what they were logging in to do did not require the actual primary license at that time.   Does that make sense?Thanks in advance! Michelle

The QM department has reported that a specific document has been marked as obsolete in the system. They would like to track and identify the user who performed this action, along with the date and time it occurred.Could anyone please advise which database tables or logs we should check to retrieve this information?Your guidance is appreciated.

PASSWORD RESET RETURNS ERROR

Is there a problem currently with the Password reset feature, as  the system says that the New password doesn’t match former password, which I find rather odd considering the reason I’d be resetting the password is to give a user a new password. I’m using Ideagen Quality Management Version 7.7

Document approvals - Dashboard

I’ve been tasked with creating a report for outstanding document approvals within IQM and i’ve noticed that there is a Ideagen created dashboard for outstanding copyholders in the dashboards section of the web client.I’ve been able to show this to my superiors, who like the fact that it is interactive and can show names and departments of who has not acknowledged the document.Now, has anyone been able to create a dashboard, similar to the one i’ve described, that can show all outstanding document approvals? If so, would you be able to share how it was set up so I can also set it up in my company’s database?Thanks in advance.

Error after moving DB from one server to another

I can’t get any answers from support since they quit responding to my emails for the past 2 weeks.All we’re trying to do is move a Q Pulse Database from one SQL server to another.  We’ve actually completed that task, and everything shows up when we connect to it, but we get an error.  When We connect to the DB and try to open a file from the repository, we get an error that says:Could not open part.Could not lock the part ####. Does it have something to do with the old DB connecting to the repository/Network Share.Do we need to create a new DB and then move the data to it.Do we need to move the repository/Network share to a new server.

I’m looking to see if there is any method that makes it possible to download documents/attachments akin to an API?The Document Retrieval Service looked promising at first, but upon seeing the interface shown in "Using the DRS", it doesn’t appear to serve that purpose?

Q-Pulse Mobile App - First time install

Hi everyone,I have being asked to get the IQM (AKA Q-Pulse) Mobile app up and going for Audit.  I got IT to place the App onto an Ipad.  The screen at the very start of my Log In. asks for the Server URL.  To which my IT have put the DRS link.  When I then they the Advance Username and password I get a message stating UNAUTHORIZED - You are not authorized to connect to this server.  Please use advanced settings to enter a network account.I was so excited to get this for Audit but 7 days later and the joy has left me. Any advice would be gratefully appreciated.  Thanks in advance.Version 7.3 in an apple ipad i think.  I am not tech minded.

Dynamic Copyholder Templates

Hi all,  Documents can sometimes be missed and not distributed to the right people if they have changed roles or if a new person has joined the team and there has not been time to update the copyholder templates. Has anyone else experienced this? Would it be possible to create dynamic copyholder templates, i.e. Distribute document IF Job Role “xyz” is TRUE? If a workaround already exists and I’m not aware, please let me know!! :) Thank you.   Kind regardsMonika Blinstrubyte

Draft Approved documents and training

How are people using Draft Approved documents?  Specifically, I thought that this was a stage where poeple could be trained on a new revision of a document ‘before’ the old revision was superseded and the new one became active.  I can’t see how to setup document training that is initated at this stage.
