    Hello,

    I have been reviewing the skills catalog in search of courses or a curriculum for the people and training modules. I have not been able to find any. Are there some that I am missing?  I was hoping to get our HR people through some of those so that they have a better understanding to build out the matrices and competencies.  

    We do have some success training in June, but I was hoping to give them some information in advance.

          Hello ​@Alan Blair, 

          I think the Master Job Roles and Master Competencies is confusing and not very intuitive. 

          Setting up the Training plan, job roles and reviews is also worthy of some skills courses. 
          I believe that the People module is extremely valuable, but trying to set it up is not extremely intuitive.

          I want our company to use the IQMS to its fullest, but I need to get them to understand how to set it up.

                  Hi ​@Alan Blair,

                  I’m in almost exactly the same position, albeit I’m looking at this from a training department perspective and not HR. The People module does appear to be a very powerful tool, although I believe it was not effectively setup initially (due to a lack of understanding), therefore we are underutilising it. I would prefer not to have to purchase and maintain separate training management software, simply due to a lack of understanding of how to utilise this module effectively.

                  I’ve contacted other companies who also use your software, although none of them have been able to assist me. The general feedback is they do not use it, as they are unsure how to.

                  Do you have any idea of when you would be in a position to have even a basic course available?

                    Good Morning everyone . I am not new to Ideagen and using the QMS but I am new to the community and the training module 😎

                    I am basically trying to work out if this will work for allocating documents/SOP’s for  individuals to Read and acknowledge.

                    I have been able to set up competencies but don’t appear to be able to allocate these to individuals without setting up a Training Event.

                    Can anyone assist or point me in the right direction please

                        Good Morning everyone . I am not new to Ideagen and using the QMS but I am new to the community and the training module 😎

                        Hi ​@Lou, read and acknowledge is a different area than the training but is often questioned when you have document-based training, or training around an SOP.

                        Read and acknowledge is all performed within the documents module.  The purpose for this is to prove that staff have received and acknowledged receipt of documents such as SOPs and policies. 

                        Demonstrating understanding is difficult as you can only actually provide the staff member has been given the document and acknowledges that.  

                        A training event is where you can run a session around the topic (e.g. the policy or the SOP) and track that staff are aware of the content and understand it.

                        The easiest way to do that is to create your learning event in the training module and link this to a document.  This can be done when creating the training record.  When it comes to an audit or review, this would allow you to confirm that the employee has read and acknowledged the document via the documents module and you can show the training record that the employee has been trained on the subject matter.

                        However, there is no single view on a person record to show what has been acknowledged and what has been delivered in training.

                          Hi ​@Alan Blair, thank you for your reply.

                          I am also reaching out to people in other businesses to attempt to understand what ‘good’ looks like, from a People and Training module perspective. The online mini how to guides simply explain what the main functions do, although do not give an overall picture of what these modules are designed to look like. I believe our setup here is very clunky and disjointed, which puts people off using it.

                          Do you have some kind of template of the structure, to show how they are best setup in order to work together. I appreciate that each business has different requirements, although even a simple generic layout would be a very useful framework.

                          If I’m going to dismantle what we have and rebuild it, I’d prefer to have a blueprint to work off.

                            Hi ​@Alan Blair , happy to find this post actually. I’m setting up the training and people module for our MRO team and would like to know what the difference of would be updating training records from the People Module than the Training Module. One thing that i noticed was adding through People module would not be able to view that as an event and hence no training plan. Please advise on how to be able to set up effectively to be able to view the training Plan for all users.

                            Also would like to know other then resports with chosen criteria, would it be possible to generate a training plan graph with dates  for certain type of training events to get a overview of the training plan for the whole year.

                              There is a relationship between people and training.  

                              Essentially:

                              1. The training need is identified in People module (e.g. through staff reviews and training plan)
                              2. The training is scheduled in the Training module
                              3. Training is performed in the Training module
                              4. People module is automatically updated to show training complete

                              Adding training directly to the person records events section is a quick way to add completed training and is generally useful for catching up on historical training.

                              Scheduling via the Training module lets you capture, the trainer, other attendees, evaluations, etc.  It’s a much more in-depth experience.

                              You can create reports of training for the year across the whole module or against a specific person.

                              To do this for the whole training module just search for courses that year, add whatever columns you want to the view and click on File > Print Preview.  You can then design the report.

                              To do this for a person, open a person record and click File > Print Preview > Design.  You’ll then need to add the relevant detail report bands.  You can find details on how to do this at Adding repeating sections to reports.

                              Thank you for your reply and explanation. I’m also trying to create a Training Plan with the report designer, yes I’m able to print preview /print like you suggested. But i would like to change my report to a Gantt Chart. Im able to get a rough outline of the plan but would love to have guide on how to customize the Gantt Chart (in the Chart options - Report Designer) with person/user and their scheduled training to view.

                              Hi ​@Marwa Hussain, unfortunately you cannot create a Gantt chart in report designer. 

                              You can use the training module to create a training matrix but report designer is limited in how it can graphically present the data.  You can however export the data to Excel and perform any analysis you need there.

                              Good day .

                                ​@Marwa Hussain You need permissions to see the person record and then to edit the competencies and requirements.  For example, you can give the view permission to the dynamic groups for Person record holder or Person manager.  You can then give the permissions to add/edit competencies to a static group to ensure the user has permissions.

                                The process is usually:

                                1. Requirement = training need identified in person record.  This may be identified by a staff review, one-to-one, or conversation between staff and manager.
                                2. Training is scheduled in training module.
                                3. Attendees are added based on requirements (you can search for employees where they require this course).
                                4. Training completed in the training module and event history is automatically updated in the people module.

                                Competencies work by having multiple requirements within a competency.  Once all requirements are achieved then you can update the person to show as competent.

                                Changes to the competency structure are not automatically changed as you may be certified to a standard (e.g. ISO 9001:2015) and you may be re-structuring in preparation for a new version coming in (e.g. ISO 9001:2026 which is expected in September).  You can then apply the new structure to ensure full compliance with 2026 or you can add additional requirements manually to identify compliance.

                                You can schedule events for as far into the future as you need.  There is no calendar format.
