Hi Everyone, I am looking some advice on best practices regarding discontinued documents. When a document is discontinued, the training department currently carry out several steps:Remove the document from all staff Training plans  Remove the document from all standard Job Roles Remove outstanding renewable flags from all training events.  Archive the Master event.As a large organisation we have recently discontinued may of our induction documents which are applicable company wide. The above process has caused this to be a mammoth task.  Could you advise if the above steps are all necessary or if there is a admin setting we can use or if there is a better way to achieve the same outcome. Thank you in advance for your help with this.Kind regards,Sarah-Louise 

Hi Everyone,I’m looking for guidance on best practices for requesting employees to acknowledge a document in the system without allowing them to acknowledge it on behalf of someone else. Unfortunately, at the moment this is possible, and I haven’t been able to find a way to restrict that permission.Additionally, is there a way to limit the visibility of the acknowledgement actions, so that each employee only sees the acknowledgement line associated with their own name, rather than seeing acknowledgement actions for all employees across the company?The screenshot below shows our current setup, which is what’s currently visible to all users.Any advice on configuration and permissions would be greatly appreciated. We are using V 7.4.1.0, which does not produce tagged accessible PDFs as per the PDF/UA standards. Is this possible in a newer version?

Sack Date Time System Integration (US) 22-Jan 11:00 – 13:00 UTC  This is part of a version upgrade from V2.4.0 to V2.5.0, which removes some end-of-life models (Claude 3.5 & Claude 3.7 & gpt 4o (2024-05-13)) and migrates these to their newer recommended models (Claude 4.5 & gpt 4o (2024-11-20)). Last month we migrated from on-prem Q-Pulse to IQM Cloud.Yesterday we got a hotfix in our pre-production environment, and it seems at least some of our custom configuration got wiped in the process, namely all of our custom reports (and their corresponding configurations on the web reporting portals). Now I’m wondering what else we may have lost.Does anyone have or know of a complete list of what needs to be backed up/re-done before and after an upgrade?The fact that I even have to ask this is ridiculous. I manage multiple cloud apps and this is the only one where I have to worry about losing anything when the vendor updates the version. Yet more confirmation that Ideagen went cloud without having cloud architecture in place.

Does anyone use the replication feature? I am trying to replicate a particular tree in our document structure to SharePoint but when I try to test it I get the following error:Error connecting to Output Location. Please verify path and permissions of the Output Location.I am not sure if this means that my SharePoint location needs to be updated to allow the information from the Ideagen system or if I am somehow adding the wrong path?

I’m looking for advice on how to set up the Documents module more efficiently for the following scenario.We have several documents that are mandatory reading for new starters and require formal acknowledgement. Currently, this process is very admin-heavy. When a new employee joins, I add them to the People module, then for each individual document I have to manually add their name in the Distribution tab and the Copyholder/Acknowledgement field so they can acknowledge it. This has to be repeated for every mandatory document.Is there a way to group these acknowledgements for new starters, so that all required documents are assigned at once rather than individually?Any suggestions would be greatly appreciated. Thank you for your help.

With the automated workflow launcher function, we are able to launch individual instances of the desired workflow from each row in a sub-form. Is there a way to copy information from the sub-form fields into the same field, but that is a discrete field in the newly launched workflow (i.e., the newly launched workflow does not have the sub-form).

We are a manufacturing facility, with operators at different levels within various departments. My aim is to get the structure right from the start, so that I don’t have to go back over my work later, as I learn more.All help is gratefully received.

Can someone tell me how to best set up annual renewable courses in Academy so they are reflected in the person’s workload in IQM?   Are there any docs available that explain how the link between the ‘People’ module in IQM and Academy works, and how you get Academy and IQM to work in conjunction to manage outstanding training events? 

Hello!We have a pretty frequent issue where the iOS app errors out when trying to sync to the server to push updates to our ipads that we use for offline document access (which has to be up to date at all times, so the sync failure causes a gap in compliance). There are three errors that appear: 2 error messages or the app just crashing. The only thing that we have figured out for “fixing” the issue (per our IT dept) is to just keep trying until it works, however I have spent several hours over several days just trying and trying again to no avail. The only time it becomes successful is when I bring them over to IT and my IT guy does the same exact thing that I’ve been doing.Here’s one error we see: And the other one just says “Unable to Sync - Unable to complete a sync. Ideagen Quality Management server may be down”. We know that the server isn’t down because we’re accessing it just fine elsewhere.Anybody have a better solution to these errors beyond just centering all of my work hour

Hello,I have been reviewing the skills catalog in search of courses or a curriculum for the people and training modules. I have not been able to find any. Are there some that I am missing?  I was hoping to get our HR people through some of those so that they have a better understanding to build out the matrices and competencies.  We do have some success training in June, but I was hoping to give them some information in advance.  

While we are starting fresh on this new platform, I need to raise the question that I am most commonly asked about Ideagen EHS Core - formerly Lucidity.What exactly is the limiting factor that is preventing the implementation of the Competency Module (i.e the ability to complete e-Learning) via the App? Currently 95% of our work force utilises the App for the majority of their use of the software, but still need to use the desktop version to complete their inductions / e-Learning. We have force loaded a link to the desktop site onto all the company managed mobile devices, but a large portion of our workforce use their personal devices to access the App, meaning we have had to explain that the app if for forms etc, and the desktop site is for e-learning and show them how to bookmark a web page (which was quite an undertaking for some less tech savvy demographics of our workforce).  I understand something like this needs significant software development, but the question remains; Is this

The No-downtime Production Update on Thursday, December 18, 2025 introduced a session management issue that can cause object locks to persist longer than intended. This issue only affects the US Production environment — European, Canadian, and GovCloud environments are not impacted. We're deploying a targeted patch to US Production on Thursday, January 8, 2026 to resolve this issue. Release notes are available here. Hi, Is it possible to assign document for review within q-pulse? In the same way that they can be allocated for approval. 

In the documents module, you can link related documents in Document Properties Editor. Is there a way to setup something similar in the Assets module? We’d like to link related assets by their unique numbers.

I want to use the deputy function in the administration module for a staff member who will be away a fixed period.  I believe this should send all the CAPA and document notifications and escalations to the deputy and allow them to action against his name. Is this correct? Does any one have any experience of using this function? Thanks Paul  

Hi , how to create people in the People module and then assign them a Q-Pulse login in the Administration module.Actually i added a user profile on People module and added all training records then realized had not created the user via Administration module. I want to link this profile to the administration module as need to create log in id as well. I checked in the setting i wasnt able to find anything. I need to delete selected records, in particular submitted occurrence forms; due to data retention  requirements/regulations. this would require running a search against a bespoke date field and then deleting in bulk (probably 100s or more likely thousands at a time). this process would need to also delete any linked Incident and CAPA records at the same time. There's no obvious function i can see to do this, unless anyone can advise differently?alternative would be to commission a bespoke SQL script to perform this activity, which we’d then run again annually. anyone ever done anything similar. and/or how do other clients deal with data retention requirements?
