We want to follow up on yesterday's (Aug 17) service update with more detail on an issue that's been causing delayed search results in our US Production environment. We traced this to a scheduled background process that, under a period of unusually high traffic, became inefficient handling a large backlog of records. This put pressure on backend components responsible for keeping search indexes current, causing updates to lag behind. We've cleared the backlog and added processing capacity as an immediate fix. A code fix is scheduled to reach US Production this Thursday, Aug 20. We're also continuing root cause analysis on this alongside the Aug 5 incident, since the two turned out to be connected. If you believe specific records in your environment weren't reflected correctly in search during this period, please reach out to your CSM or TAM. Early last week, we changed the sender/reply-to address for automated emails (notifications, reports, password resets, etc.) from @devonway.com to no-reply@ideagen.com, without enough advance notice. This change took effect across all commercial Production environments (US, EU, and Canada) by the end of last week. Many of you had customized reply-to addresses or filters built around your devonway.com address, and this change caused some organizations to stop receiving our emails. Hi, I relevant new to Ideagen and heard you are able to set up Automated Report: Calculated Hours. I would like to set up weekly and monthly reports that automatic email to customers on their employee hours. Is there a QRG that can guide me through this process. If there have been previous reports set up. Is there any way to modify these reports?

Hello,Is Academy going to be added as an app/interface into Mazlan/Hub? Without this, for the general user who is only using IQMS for document retrieval (about 80% of my users) the hub seems an un-necessary step.

I am looking at improving our use of the Management system/filing cabinet section of the Intranet module in Ideagen EHS Core.  Does anyone know if there is a way to configure a notification to advise a user group when a document is updated? I am aware of the ‘review document’ option, but I am looking for an easy way to automate advising a group of subcontractors that a procedure has been updated. Thanks in advance!

I am encountering errors when attaching files o documents.  It is random and does not appear to be based on the size of the attachment.  Myself and a colleague have experienced this.  All of the documents that have done this have allowed us to attach the file if we go back to the item some time later/the next day.  However this is adding time to an already manual and time consuming process that we are plodding through as we set up our QMS for the department.  Ideally we need to be able to create all the documents and attach the files at the same time as we create them instead of having to go back to some to attach.

We’re thinking of setting up a regional clinical audit - collecting anonymised patient data from other hospitals in our region. Has anyone used IHG for this type of project? If so, how easy did you find it to contain access for external users to just the one data collection tool? What IG issues did you face? Most people use REDCap - and we will probably go down this route too but just curious if anyone has already tried using IHG instead and how successful it was

Hello!I am trying to create custom certificates and have figured out everything except how to get the file to upload and be inserted into the certificate. I have uploaded the file to images, but it does not appear to be working. 

Update on EU/Canada Production: after further review, we've decided to hold off on deploying 2.65.0.1 to EU and Canada Production. Instead, we'll deliver 2.65.0.2 to those regions next week, which is cumulative and includes everything in 2.65.0 and 2.65.0.1, plus the additional fixes and improvements described in the release notes.We're deploying 2.65.0.2 to US Production on Tuesday, August 11th, to EU Production on Wednesday, August 12th, and to Canada Production on Thursday, August 13th.This release includes several targeted improvements to performance on the mobile and REST data sync path, particularly around search and reference-data syncing. The issue affecting our US Production environment has been resolved. Service was restored at approximately 6:20 AM Pacific time. We will be undertaking a structured root cause analysis review to understand the exact cause of the issue and will be implementing mitigation actions to prevent future occurrences. HiWe have recently migrated to Mazlan from Ideagen EHS and previously had filters setup so managers would receive automated training reports (in emails) of their staff to review who was due or overdue to complete training and e-learnings.Since migration all these reports have ceased. Anyone have any suggestions on how to set them up in Mazlan? Regards Rob

Hi Fellow Users!I have inherited a database without user security groups, instead all users have documents (full Access) or no access. I have created a new document type and a user group (for new users) that restricts those new users to only viewing the new document type but…Is there a way to restrict the document reviews for existing users with documents (full Access) so they can’t view the new document type I’ve created- basically I want to avoid the huge job of redefining access levels through the removal of documents (full access)Hope someone out there can please help… 

Hi, I am currently setting up the training & people module in Q-Pulse 7.7.0. I can't seem to prevent staff from viewing other staff training records. Is this possible to do?

I am interested to know how other organisations archive their users. If a user is showing as having outstanding actions for documents that are in ‘draft’ state, Q-Pulse seems to assume the prior copyholder list, even though the document has not been through the issue process yet so has not had a template assigned. We are unable to remove them from the ‘draft’ documents and when we archive the account the number of ‘draft’ documents where the user is linked to ends up being added to the administration workload. We apply a new template to a reissued documents instead of amending the last (which automatically appears during the issue process) so as long as the leavers are removed from the various template lists, they will slowly phase out.  How are other organisations dealing with this, do you just let the admin outstanding workload increase?

Hi all, Is there any way that when updating a copyholder template (or personnel department list or group), the system will automatically distribute documents new personnel when the template or group is used in the document distribution?  As people move departments or there are new people added to the system, I don’t know of a way to automatically distribute documents when personnel are added (or removed) from a template / group. At the moment the only way I can see to do this is to add / remove individuals on each document but this is an almost impossible admin task when there are 100s of documents in the system.Thanks in advance.
