Hello--
I am wondering if it is possible to link a document from the documents module to a sharepoint page. In the past we used sharepoint as our QMS system, so we were able to provide a link on our homepage so that team members could reference the document directly. Is it possible to provide a link directly to the current revision from the documents module?
Hey Mkealey-harbaugh,
Happy to confirm this is possible via the Document Retrieval Service (DRS). It’s a free, optional, browser-based add-on that generates hyperlinks to the active version of your document attachments in IQM.
You can copy these links and paste them anywhere (e.g. into SharePoint). I’ve even seen customers embed them into QR codes to stick around the office or on machinery. The links always open the latest version, so there’s no need to update them manually.
If you’re on a hosted server with us, the DRS is likely already set up. The link should be listed in your implementation report. If you can’t locate it, you can raise a support ticket and the team will provide the details.
By default, the DRS is usually configured as “Authenticated”, meaning anyone clicking a link will be prompted to enter an IQM username and password. However, you can request it to be “Pre-authenticated”, which opens the document directly without a login prompt.
⚠️ Note: Pre-authentication removes permission-based security but can greatly improve the end-user experience.
If you’d like to enable this, simply raise a ticket with Support and provide the username/password of the account to use (usually an admin or a dedicated DRS user account that won’t be changing passwords frequently and permission to view all documents).
Hope that helps, let me know if you need any guidance raising the ticket or deciding which option suits you best.
Thanks,
Sam
