Hi @Stephanie Smith, while this doesn't answer your question on how other members found it, you could try a questionnaire with anonymous access, so external users can complete just that one form. Our Help articles cover the setup side of this, though not the information governance (IG) questions, which are best checked with your own IG team.

With anonymous access enabled, people without an Ideagen Healthcare Guardian login can complete the questionnaire from a URL link or QR code. Our Help articles give completing a questionnaire from outside the organisation as an example. To turn it on:

1. In Question Manager, select the questionnaire type, such as Audits, and open the questionnaire.
2. Select Question Builder, then click the questionnaire settings.
3. Click enable anonymous access to questionnaires, then Done.
4. Click Save & Overwrite to update the current version of the questionnaire.

You also need a Public User employee account. To create one:

1. Select People > Employees and click Create +.
2. Enter the first name Public and the surname User, then click Save.

External staff would then reach just that form through its link rather than signing in. Ideagen can also configure anonymous (incognito) access to prevent file attachments and employee questions, which may help keep identifiable data out of submissions.
