In our current process, training for SOPs (“read and understood”) is documented in the eQMS. However, training is only assigned after documents become effective, which has been identified by auditors to be a gap between SOP implementation and staff training.
Has anyone implemented an effective system or workflow for pre-effective-date training in the eQMS?
Hello,
You could look to use a combination of the Draft Approved feature in the Documents module alongside linking documents to training courses in the People module.
The Draft Approved feature lets you insert an extra step after a document has been approved but before it becomes active. While in this stage, you can assign required actions, most commonly used to ensure all relevant users are trained on an SOP prior to activation.
To record and track this training (since the Document Distribution tab only becomes available once a document is active), you can link documents to training events in the People module. These training events can then be logged against each user’s profile. When a document is later revised, the system will prompt you to confirm if users need to be retrained on the new version and, if so, by what date. This automatically creates a retraining requirement with an expiry date, sending reminders and escalations to help maintain compliance.
Thanks,
Sam
